How to Archive and Restore Tasks

Who this is for: Administrators cleaning up obsolete tasks, or anyone who accidentally archived a task and needs it back

Archiving hides a task from the active list without deleting it. The task stays searchable in the archived view, keeps its full history, and can be restored any time.

Steps

1. Open the task

From the Tasks list, click the task you want to archive. See Open a task if you’re not sure how.

2. Click Archive

In the top-left of the drawer, click the orange Archive button.

If you don’t see the button, you don’t have archive permission for this task — ask your CLX administrator.

3. Confirm in the modal

CLX shows a confirmation modal explaining what archiving does.

Click Archive (or Confirm) to proceed, or Cancel to back out.

4. The task moves to the archived view

Once archived, the task disappears from the default Tasks list. To see archived tasks, open the three-dot grid menu and toggle Show Archived.

Restoring a task

1. Turn on Show Archived

From the Tasks page, open the three-dot grid menu on the right and click Show Archived. Archived tasks now appear in the list (usually with a subtle styling difference).

2. Open the archived task

Click the row as usual. The drawer opens in edit mode, but the action row shows a blue Restore button instead of Archive.

3. Click Restore

Click Restore. CLX confirms, moves the task back to the active list, and the task is usable again.

Tips

  • Archive is not delete. Archived tasks keep every field, every note, every assignment, and the full history.

  • If you archive a task that’s part of a running workflow, the workflow may stall — check with a workflow admin before archiving active approval tasks.

  • Archiving is audited: CLX records who archived a task and when. Restore is audited the same way.

  • Use archiving (not complete) when a task was created in error or is no longer relevant. Completing a task sends workflow signals you may not want.
